Cancellation Policy

At Roomaways, we want you to book with complete peace of mind. That's why we've designed a clear and fair cancellation policy. Below you'll find what happens if you need to cancel your booking.

1. Before payment

You can cancel your booking request at no cost at any time before making the payment, whether your request is pending a response or has already been accepted.

2. After payment

Once payment has been made, the refund of the first month's rent depends on when you request the cancellation. The online payment fee is non-refundable in all cases.

  • Within the first 24 hours after payment: 100% refund of the first month, regardless of the check-in date.
  • More than 60 days before check-in: 100% refund of the first month.
  • Between 30 and 60 days before check-in: 50% refund of the first month.
  • Less than 30 days before check-in: no refund.

3. Cancellation by Roomaways

If due to exceptional circumstances Roomaways needs to cancel a paid booking, the student will receive a full refund (100% of the first month + online payment fee). Additionally, alternative accommodation will be offered if available.

4. Force majeure

In the following situations, a full refund (100% of the first month + online payment fee) will be granted regardless of timing:

  • Visa denial (with official documentation).
  • Serious illness or death of the student or an immediate family member (with medical certificate).
  • Natural disasters or government restrictions preventing travel.
  • Official cancellation of the academic programme (with university documentation).

Force majeure requests are assessed on a case-by-case basis. Supporting documentation must be submitted within 14 days of the event.

5. How to cancel your booking

  1. Go to your dashboard under "My bookings".
  2. Select the booking you wish to cancel.
  3. Click "Cancel booking" and select a reason.
  4. Review the estimated refund amount and confirm.
  5. If a refund applies, it will be processed automatically within 5-10 business days.

6. Refund timeframes

Refunds are processed through Stripe and returned to the same payment method used for the booking. The usual timeframe is 5 to 10 business days, depending on your bank.
